Attendance Records Guide (Admin)
This article explains how administrators can view, enter, and approve provider attendance records. It includes steps for accessing a provider’s weekly attendance, making manual entries, submitting records, and generating CSV reports.
1.Accessing Attendance Records

- Add notes if needed (providers will see them)
- Click Add Entry to save.
- When finished, click "Send Attendance Entry" to submit the full record.
3. This Week’s Report Tab – Weekly Summary View
Click on the This Week’s Report tab to view a consolidated attendance report for all providers for the selected week.
You’ll see the following:
Weekly Reports
Select a Week
Weekly Report Type
This report includes:
- Date – of the attendance entry
- Entry – indicates hours recorded
- Approved Hours – hours that have been approved
- Code – rate code used
- Provider Rate – payment amount per entry
- At the bottom, totals are calculated.
Use the search bar to filter specific entries or providers.
4. Generating CSV Reports
To export attendance data:
- Click the Date Range Report tab at the top.
- Select the start and end dates for your report.
- From the Report Type dropdown, choose one of the following:
General – A basic summary of attendance records
Payroll – Use for provider pay calculations
Parent Billing – Use for invoicing parents
Subsidy – Use for reimbursement or funding documentation
- Click Download CSV Report.
*Only submitted and finished entries will appear in the downloaded report. Make sure all attendance has been sent and finalized.
5. Care Logs
- Click Finish to lock the provider’s record.
- Finished records cannot be edited and are ready for approval and reporting.
Manual vs Automatic Entry (Provider Side)
As a provider, you have two options to enter attendance and care data: Automatic Entry and Manual Entry. Below is a step-by-step guide for both, starting from your first login.
As a provider, you can enter attendance in two ways:
- Automatic Entry – for today only
- Manual Entry – for the full week
Here’s how to do both, step by step.
Step 1: Log In
- Go to the login page
- Enter your username and password
- Click Login to enter your dashboard
Option 1: Automatic Entry
- Use this if you're entering care for today’s date only.
- On the dashboard, click Care Logs
- You will see today’s date at the top (e.g., Daily Care Log: June 24, 2025)
- For each child (e.g. Pebbles Flintstone, Bambam Rubble, etc.)
- Click In when the child arrives
- Click Out or Away when they leave
Submit when finished. The system will automatically calculate hours and estimated rates
Option 2: Manual Entry (For the Week)
Use this if you're entering attendance for any day in the week, including past days.
- Login, then navigate to the dashboard, click Attendance Records
- At the top, select the week (example:Attendance Record for Week of Monday, June 23, 2025)
- Then: Select the Child from the dropdown
- Click View on the right side of that child’s row
- A form will open. Fill in:
- Description of care
- Arrived time
- Departed time
- Add Notes (optional)
After saving, scroll down to review entries in the tables below:
Check hours, rate info, and notes. Submit once everything is correct
⚠️ Manual records cannot be edited after submission

Viewing and Managing Children
The Children section in your dashboard allows you to view, search, sort, and manage all registered children in your program.
How to Access the Children List
Log in to your Dashboard.
Click on “Children” in the side or top menu.
You will be taken to the main list view showing all children currently in the system.
What You’ll See
The table includes the following columns:
Last Name
First Name
Subsidized (Yes/No)
Status (e.g., Active)
Actions (e.g., Edit, Delete)
How to Search for a Child
Use the Search bar at the top right of the table:
Type in any part of a child's first or last name.
The list will automatically filter results as you type.
This is especially useful when managing a large number of records.
Sorting the Table
Each column header can be clicked to sort the list:
Click once to sort in ascending order (A–Z or No–Yes).
Click again to sort in descending order (Z–A or Yes–No).
You can sort by:
Last Name
First Name
Subsidized
Status
Tip: Use sorting and searching together to quickly find and manage specific child records.
Viewing More or Fewer Records
Use the “Show [X] entries” dropdown at the top-left to change how many children are displayed per page (e.g., 10, 25, 50, 100).
