Generating and Understanding Attendance Reports

Learn how to generate weekly and date-range reports in Attendify. Understand report types, funding breakdowns, and how to verify totals for payroll and billing.

  • Weekly Report Types

Choose from the following types when reviewing or exporting weekly attendance:

Report Type

Shows what parents owe, factoring in funding

Understanding Totals

Each report includes:

  • Total Hours and Total Rate per child

  • Parent Pays, CWELCC Pays, and Subsidy Pays

  • Grand Totals for:

    • Provider with Grants

    • Parent Fees

    • CWELCC Contributions

    • Subsidies

Example:

  • Total Hours: 90.60

  • Total Provider Rate: $582.50

  • Grand Total Parent Pays: $110.00

  • CWELCC: $388.10

  • Subsidy: $184.40


Date Range Report Summary

The General Attendance Report under Date Range:

  • Lists all attendance records within the selected range

  • Shows Approved Hours, Rate Codes, and Provider Rates

  • Displays grand totals at the bottom

  • Ideal for generating monthly or quarterly summaries

Important: A report showing dates like “December 31, 1969” usually means no valid data or selection has been made.

Best Practices

  • Always verify attendance before approval.

  • Use Care Logs and Messages to communicate any changes.

  • Select the correct report type for payroll or billing.

  • Use the Search feature to filter by provider or child.

  • Compare total hours and funding with other sources for accuracy.

Activity Log

The Activity Log lets you track what actions have been taken in your Attendify account and who performed them. This feature is useful for monitoring updates, changes, and user activity across your agency or franchise.

What You’ll See in the Activity Log

The log is a list of actions with helpful details like:

Tips for Using the Activity Log
  • Use the search bar to find actions by child’s name, user, or date
  • Click on any row (if clickable) to view related details
  • If something looks off, you can use this log to check what happened and when

Weekly & Date Range Attendance Reports

Administrators can generate and review attendance reports for a specific week or custom date range. These reports support general tracking, payroll processing, and parent billing.

Accessing Attendance Reports

Step-by-Step:

  1. Log In to your admin account.

  2. Go to the Dashboard.

  3. Click on Attendance Records.

  4. At the top of the page, select one of the following options:

    • Manage

    • This Week's Report

    • Date Range Report

    • Weekly Reports

Weekly Reports

1. Select a Week

  • Use the week selector to choose any week from Monday to Sunday (e.g., June 16–22, 2025).

2. Choose Report Type

  • From the Weekly Report Type dropdown, choose:

    • General

    • Payroll

    • Parent Billing

3. Generate the Report

  • Click Generate to view the report.

  • You can then choose to:

    • Print the report.

    • Download as CSV for spreadsheet or external processing.

Report Fields

The generated report includes:

  • Date – The date the attendance entry was recorded.

  • Entry – Details about the attendance entry, such as the child’s name and provider.

  • Approved Hours – The number of hours approved for billing or payroll purposes.

  • Code – The rate code applied to the entry.

  • Provider Rate – The amount to be paid to the provider for the service.

Totals Displayed:

  • Grand Total Hours

  • Total Provider Rate (with grants)

  • Total Parent Pays

  • Total CWELCC

  • Total Subsidy

Notes & Tips

  • Ensure to verify the report against other records for accuracy.

  • If no data is available, the table will display “No data available in table.”

  • The system calculates values automatically based on approved attendance entries and linked rate codes.

  • Always confirm the report type matches your needs before printing or downloading.

Understanding the Attendance Record (Admin View)

The Attendance Record screen allows administrators to monitor provider attendance submissions for a selected week. It shows whether attendance has been submitted, approved, and the PDoS (Provider Day of Submission).


How to Access Attendance Records

  1. Log in at https://useattendify.com
  2. From the Dashboard, click Attendance Records
  3. At the top of the page, use one of the following options:
  4. Manage – Access entry types and settings
  5. This Week’s Report – View the current week’s provider submissions
  6. Date Range Report – Run reports for any custom date range


Understanding the Record View

When you select a specific week (e.g., June 23–29, 2025), the screen displays all providers assigned to that period.

For each provider, you will see:

  • The date of the record
  • The provider’s name
  • Whether they have submitted attendance for that date
  • Whether the submission has been approved by an admin
  • The Provider Day of Submission, showing when the provider submitted the entry
  • If a provider has not submitted attendance for a given day, the row will display as “Unavailable” with “No” under both the Submitted and Approved columns.


What Admins Can Do

As an admin, you can:


  • Track which providers have submitted or missed attendance
  • Approve or follow up on pending records
  • Review submission dates using the PDoS field
  • Generate weekly or custom reports for audits, billing, or internal tracking


Best Practices

  • Check the Attendance Record page regularly to stay on top of submissions
  • Approve entries promptly so they can be used in payroll and subsidy reports
  • Remind providers to submit on time if “Unavailable” or “No” appears
  • Use the weekly or range reports to summarize data for review or export

Sage Auto Entry (ETS): Sage Payroll and Parent Billing Reports

Learn how to generate Sage parent billing and payroll reports from weekly and date-range reports, and how to process this data into your Sage company file using the ETS tool.

  • Part 1: Generating Reports from Attendify

    A. This Week’s Report (Weekly Reports)

    1. Navigate to Attendance Records from the left menu.

    2. Click This Week’s Report at the top of the page.

    1. Select the starting date of the week you want to generate reports for.

    2. From the Weekly Report Type dropdown, choose one of the following:

      • Sage Payroll

      • Sage Parent Billing

    3. Click Generate.

    4. Once the report is generated:

      • Click Download for Sage to download the Excel file for ETS processing.

    B. Date Range Report

    1. At the top of the page, click Date Range Report.

    1. Select the date range:

      • Choose the start date in the first box.

      • Choose the end date in the second box.

    2. Select the report type:

      • Sage Payroll or Sage Parent Billing

    3. Click Generate.

    4. Once the report is generated:

      • Click Download CSV to download the Excel file.

    Important Note About Missing Names in Reports

    If names are missing from the generated reports, this indicates required Sage-related fields are not filled.

    Sage Payroll (Providers Missing)

    • The Provider Billing Name is missing.

    • This field is found under:

      • Users → Provider Profile

    • The provider billing name must be filled for the provider to appear in the Sage Payroll report.

    Sage Parent Billing (Children Missing)

    • The Sage Parent Name is missing.

    • This field is found under:

      • Children → Child Profile

    • The Sage parent name must be filled for the parent to appear in the Sage Parent Billing report.

     These fields are required so that names appear correctly in the exported reports and can be matched in Sage.

    Part 2: Downloading and Logging into ETS

    1. Download Attendify ETS from the Attendify website landing page.

    2. Open ETS and log in using your provided credentials.


    Part 3: Processing Sage Parent Billing in ETS

    After logging in, Parent Pay opens by default.

    Processing This Week’s Report (Parent Billing)

    1. Select This Week’s Report.

    2. Enter the Rev Acct #:

      • This must match the account number of the account Rev Acct # created in Sage 50 Desktop.

      • The account must already exist and match exactly.

    3. Select the date:

      • This date must match the starting date of the week selected in Attendify.

    4. Select:

      • The correct Sage company file

      • The downloaded Excel report

    5. Click Process.

    Processing Date Range Report (Parent Billing)

    1. Select Date Range Report.

    2. Do not select a date.

    3. Select:

      • The correct Sage company file

      • The downloaded Excel report

    4. Click Process.

    Verification in Sage 50 Desktop

    • Open Sage 50 Desktop.

    • Go to the Customers section.

    • Ensure all parent names from the report exist as customers in Sage.

    • Names must match exactly for the data to process correctly.

    Part 4: Processing Sage Payroll in ETS

    1. Select the Provider Payroll radio button.

    1. Enter the required account numbers:

      • Grant A Acct #

      • Grant B Acct #

      • Provider Base Pay Acct #

      • These must match the account numbers of the above-listed accounts created in Sage 50 Desktop.

    2. Choose a Payment Method:

      • Pay Later (default)

      • Cheque

      • Cash

      • Direct Deposit

    Cheque and Direct Deposit

    • An additional account number field will appear.

    • This number must match:

      • The provider’s chequing account in Sage

      • The provider’s bank information in Sage 50 Desktop edition

    Date Selection Rules

    • This Week’s Report: Select the week start date.

    • Date Range Report: Do not select a date.

    1. Select:

      • The correct Sage company file

      • The Payroll Excel report

    2. Click Process.

    Final Verification

    • Open Sage 50 Desktop.

    • Go to the Vendors section.

    • Confirm:

      • Each provider exists as a vendor

      • Vendor names match exactly with the names in the Excel file

    • This ensures payroll data is processed correctly and efficiently.

    Best Practices

    • Always cross-check payroll reports with attendance reports.

    • Ensure all Sage-related names and account numbers are filled before generating reports.

    • Name matching between Attendify and Sage must be exact.
